Privacy Policy

This policy explains how SystemRound handles information when you browse the site, create an account, practice a system design problem, run a mock interview, receive a debrief, or contact us for support.

SystemRound is an educational interview preparation product. The service uses your submitted answers, diagrams, audio-derived transcripts when voice features are used, and grading history to produce feedback and improve the practice experience.

Account data: name, email address, profile image, authentication provider identifiers, and session information needed to sign you in and keep your account secure.

Practice data: prompts opened, stages submitted, written answers, diagrams, scores, checkpoint verdicts, debriefs, skill history, and saved progress.

Usage and device data: pages viewed, feature events, timestamps, browser and device signals, IP-derived operational logs, errors, and security events used to keep the service reliable and prevent abuse.

Support data: messages you send to us, including email address and any context you choose to include.

We use information to operate the product, authenticate users, generate practice feedback, save progress, diagnose reliability issues, prevent abuse, respond to support requests, and understand which parts of the learning experience need improvement.

We do not sell personal information. We do not use your private practice answers to create public marketing content without your permission.

SystemRound uses AI providers to evaluate practice submissions and generate interview feedback. When you submit an answer for grading or participate in an AI-assisted mock interview, relevant prompt and answer content may be sent to an AI provider for processing.

Avoid submitting secrets, credentials, proprietary source code, confidential employer documents, or sensitive personal information in practice answers. The product is designed for interview preparation, not for storing confidential business material.

We use trusted third-party providers for hosting, authentication, database storage, AI processing, analytics, email/support workflows, and payment processing if paid plans are introduced. These providers process information only as needed to provide their services to SystemRound.

Current product architecture includes Google OAuth for sign-in, Supabase for data storage and authentication-related infrastructure, and Google Gemini for AI-assisted evaluation workflows.

SystemRound uses cookies or similar local storage for authentication, session continuity, security, and basic product analytics. Analytics are used to understand product usage and improve reliability, not to sell advertising profiles.

We retain account and practice data while your account is active so you can review progress and debriefs. Operational logs and analytics may be retained for shorter periods for security, debugging, and reliability.

You can request deletion or export of your account data by contacting hello@thesystemround.com. We may retain limited records when required for security, fraud prevention, legal compliance, or dispute resolution.

We use access controls, environment-separated secrets, provider security controls, and operational monitoring to protect the service. No internet service can guarantee perfect security, but we treat interview submissions and account data as private product data.

SystemRound is not intended for children under 13. If you believe a child has provided personal information to SystemRound, contact us and we will take appropriate steps to remove it.

We may update this policy as the product, providers, or legal requirements change. The updated date on this page will reflect the latest version.
